Children’s Hearings Scotland (CHS) is undergoing an exciting period of reform designed to make a step change in improving the outcomes for infants, children and young people who need us most. CHS has signed-up to deliver The Promise and in that we will work with young people and our partners to redesign Children’s Hearings over the next 5-years. This is possibly the most exciting time to work at CHS as you will be able to play a role in these reforms.

As Business Support Assistant, you will enhance our existing Business Support team and will help our organisation to achieve its ambitious strategic plans. You will have the opportunity to be involved in a variety of cross-departmental projects and process improvement initiatives while providing administrative support to one main Directorate.

Key Responsibilities

  • Provide PA support and diary management to a Director of the Senior Leadership Team coordinating and arranging internal and external meetings, travel, and catering.
  • Provide administrative support to a Director of the Senior Leadership Team and their team formatting and editing reports, distributing documents, and handling correspondence as directed.
  • Provide administrative support to staff across the CHS national team, including taking accurate notes and minutes at meetings and disseminating when required.
  • Prepare and/or updates reports, correspondence and other documents as requested.
  • As an expert in administration, provide guidance and support to colleagues across CHS on our process and procedures for organising and administrating meetings, booking travel and catering, requisitioning and purchasing, and using our various digital platforms.
  • Monitor various mailboxes for the organisation ensuring timely responses to public queries and escalation as appropriate.
  • As a GPC card holder for CHS, order and pay for supplies, when required, logging all appropriate information and documents.

Please note that You may be required to travel across Scotland and work on occasion outside CHS’ normal working hours to meet the requirements of the job.

At Children’s Hearings Scotland, our highly trained Panel Members make decisions for Scotland’s unique Children’s Hearings System that upholds and promotes the rights of infants, children and young people. Our 2,500 volunteer Panel Members take part in children’s hearings in their local areas, making decisions with and for infants, children and young people. Our organisation also supports a network of Area Support Teams throughout Scotland who support Panel Members in their local communities.
