Are you a highly organised and detail-oriented individual looking to make a difference? We are seeking a talented and enthusiastic Administrator to join our team in Edinburgh. This is a fantastic opportunity to play a crucial role in the smooth running of a charity that brings the joy of live music to people in health and care settings across the UK.

The Role

As the Administrator, you'll be the first point of contact for all enquiries and provide essential administrative, financial, and database support.

Main duties and responsibilities include:

  • Administrative Support: You'll handle phone and email enquiries, provide board administration for trustees, and support the team by taking meeting notes and sending out materials to fundraisers and musicians.
  • Office Duties: You'll support the Operations Manager to manage the office space, handle incoming and outgoing post, and ensure fire safety and data protection procedures are followed. You'll also oversee office supplies and place orders to maintain stock levels.
  • Financial Processing: This involves downloading staff mobile phone invoices, banking cheques and cash, and processing over-the-phone donations using the Stripe payment system.
  • Database Management: You'll act as a super user for our CRM system, Beacon, and be responsible for ensuring accurate and up-to-date records. This includes managing donor relationships, updating payment details, and conducting data cleansing.
  • Fundraising and Communications Support: You'll oversee our annual Christmas card sales, help with campaigns and appeals, and provide support with social media, email communications, and drafting thank you letters for donors.

About You

We're looking for someone with experience in an administrative role within an office environment and excellent communication skills. You should be highly organised with a great eye for detail and be able manage multiple priorities effectively. Proficiency in standard Microsoft 365 software is essential.

While not essential, experience maintaining a database or CRM system and having worked in the charity or not-for-profit sector before would be of benefit. Experience using Beacon CRM and knowledge of data protection and fundraising best practices are also desirable.

About the Organisation

The charity seeks to give joy through live music through the provision of live music sessions for people receiving care or treatment in healthcare settings across the UK, including those who are vulnerable, the elderly, those with dementia and in critical care.

Their live music concerts are presented by individual or small groups of skilled musicians who have been carefully selected through a process of audition. Sessions are tailored to the both the setting and the audience to ensure that they can reach and connect people, encourage communication and meaningful interactions and evoke emotions and memories to make people feel good one tune at a time.
