As Scotland’s National Academy with over 1,800 Fellows from academia, business, and public service who are among the most distinguished in their fields; we engage and connect nationally and internationally to share knowledge and tackle the most pressing challenges of the modern world.

This role is part of the Fellowship team; together, we are responsible for managing the Fellowship election process, delivering a programme of activities, and supporting the engagement of Fellows across the organisation.

About the role

We are seeking an organised and collaborative Admin and Data Assistant to support the day-to-day activities of the Fellowship team. You will play a key role within the team, supporting the management of Fellowship data and the use of our Customer Relationship Management (CRM) system, as well as general administrative duties.

You will manage Fellowship data and records relating to the nomination and election of new Fellows, update and manage membership and engagement records, and support the team with general administrative duties, including managing inbox enquiries and supporting meetings.

As part of a small team, collaboration is key, and this role will support the Fellowship Officers and the Fellowship Manager. You will also work effectively with other teams (CRM, Programme, Communications, and Records Management) to ensure that processes for inputting and managing Fellowship data follow best practices.

About you

You will bring:

• Proven experience and confidence in working with an organisation’s CRM system, and a clear understanding of the need to ensure data integrity.

• A minimum of two years of experience working in a business support role, ideally in a similar not-for-profit environment.

• A flexible and proactive approach to changing priorities.

• Strong collaboration skills and experience in liaising across different teams.

• A high attention to detail.

• Strong communication skills.

Experience in developing CRM processes and working specifically in a membership organisation is desirable, but enthusiasm and a willingness to learn are equally important.

The role is ideal for someone who thrives on varied administrative tasks and takes pride in supporting efficient, data-driven processes that help the organisation run smoothly.
