What you’ll need to be successful

The postholder will be the volunteering team lead on the strategic and cross-organisational approach to volunteer communications and engagement, ensuring our volunteers feel connected and committed to Victim Support Scotland and have the information and updates they need to carry out their roles. This involves acting as a source of expertise around volunteer communications and engagement and being a key enabler of engagement initiatives. For example, the postholder will keep up to date with innovative practice around volunteer engagement and retention, making recommendations to colleagues about new approaches, driving forward key programmes and projects such as Volunteers’ Week and advising and empowering colleagues and stakeholders to value and recognise volunteers. Alongside these responsibilities, the postholder will work closely with other members of the volunteering team on shared ongoing responsibilities within the team. These include the delivery of our volunteering strategy, the recruitment and induction of volunteers, and supporting the onboarding and offboarding of volunteers.

What you’ll need to be successful

The ideal candidate will be used to working independently as well as part of a team and be able to demonstrate experience of managing a challenging workload in a busy environment to meet deadlines. The postholder will be the volunteering team lead on a people driven, strategic and cross-organisational approach to learning and development for both our volunteers and volunteer line managers. This role ensures that VSS volunteers and the staff who manage and support them have the skills and knowledge they need to carry out their roles. Acting as a source of expertise, the postholder will be up to date with current theories and practice relating to learning and development. They will drive forward key programmes such as a review of our learning and development offer for volunteers, contribute to the delivery of VSS current volunteer learning and development programme and advise and support colleagues and stakeholders around learning. Alongside these responsibilities, the postholder will work closely with other members of the volunteering team on shared ongoing responsibilities within the team. The Services Assistant (Repairs) is responsible for the delivery of front-line customer service, liaising with external stakeholders in relation to work orders, maintaining comprehensive and accurate records, and supporting the wider team in the administration of policies and procedures.

The ideal candidates will have a minimum of 3 x SCQF Level 5 or equivalent (including English), customer service experience, including front line resolution of complaints and strong IT skills with experience of reporting.

A summary of key tasks include:

1. Front-line customer service role, with primary focus on repairs services including Right to Repair and Insurance claims.
2. Wider customer service responsibilities as part of front-line Services Team, including: Point of contact for enquiries in relation to housing management, tenancy and allocations; Assisting tenants and service users in the completion of housing application forms, and liaising with housing applicants in relation to the assessment of housing needs in accordance with GWHA Housing Allocations Policy where required.
3. Liaise with external stakeholders as required to ensure effective service delivery.
4. Routinely pursuing outstanding work orders to completion including associated administration and invoice approval within delegated authority levels.
5. Administrative duties in relation to raising repairs work orders, monitoring progress and completions, liaising with customers and contractors with respect to responsive repairs, stage III medical adaptations and void management.
6. Providing a courteous and efficient service to residents and the community.
7. Working with team members to ensure duty officer cover.
8. Arranging and carrying out house visits as required.
9. Supporting the repairs team in the administration of policies and procedures, and in the delivery of team plans, objectives and performance indicators.
10. Maintaining and updating records/systems and preparing statistical information for reporting purposes.
11. Frontline complaints handling in accordance with SPSO framework and GWHA’s complaint handling procedure. Accurate record-keeping and emphasis on mitigation of complaints through contribution to monthly team evaluation and learning.
12. Co-ordination of admin/follow-up actions resulting from customer satisfaction feedback.
13. Supervision of others and co-ordinating work deadlines and priorities for Services Administrator(s).
14. To carry out any other duties which may be reasonably requested by your line manager to meet the needs of the business.

We are looking for a high performing individual to join our Management Team, with responsibility for leading the:

• delivery of projects aligned with our strategic priorities;
• co-ordination of core internal/external services, performance, and stakeholder communication;
• development of comprehensive and accurate records, reporting and administrative systems that demonstrate compliance with legislative and regulatory standards, reflecting best practice and mitigating risk;

The ideal candidate will be further educated to SCQF Level 9 or above and/or will have significant demonstrable experience of RSL reporting requirements or if operating out with the RSL sector will have relevant experience of quality management /performance excellence frameworks. The ideal candidate will also have accomplished ICT reporting and presenting skills, high degree of accuracy and attention to detail.

Key Tasks:

1. Assembling and leading teams to ensure delivery of projects aligned to strategic priorities.

2. Developing robust performance management frameworks.

3. Actively contributing to policy and strategy development, including Equality Impact Assessment and compliance self-assessments.

4. Monitoring and reporting on policy/procedural compliance extending to General Data Protection Regulations (GDPR) and Freedom of Information.

5. Coordinating, analysing and presenting performance and compliance reports across all functions.

6. Ensuring accurate and timely completion of regulatory returns (including the Annual Return on the Charter).

7. Scrutinising and validating performance data & statistics.

8. Liaising with Teams to identify and implement process efficiencies.

9. Ensuring appropriate performance bench-marking.
