Part-Time Business Centre Assistant

Role

Role Summary

To provide professional, friendly, and efficient reception services to Norton Park tenants, their clients, and visitors. This role also includes supporting the management and staff of Norton Park SCIO with administrative tasks and managing conference centre bookings.

Key Responsibilities

Reception Duties

  • Answer incoming calls professionally and assist with tenant and external inquiries.
  • Greet visitors and follow tenant-specific procedures for visitor management.
  • Issue visitor and staff passes; maintain accurate records.
  • Update staff records and manage security access systems regularly.
  • Serve as an information point for visitors.
  • Keep the reception calendar up to date and manage the reception noticeboard weekly.
  • Ensure the reception area is presentable at all times.
  • Manage the signing-in book during fire drills and emergency evacuations.

Administrative Duties

  • Sort and distribute incoming for tenants.
  • Prepare and distribute circulars and memos as needed.
  • Support the Norton Park SCIO management team with various administrative tasks.
  • Oversee and manage daily bookings for the conference centre and meeting rooms.
  • Assist with booking enquiries from tenants and external organisations
  • Maintain computer files and tenant lists accurately.

Communications and Marketing

  • Assist with posting content on social media platforms and engaging with followers.
  • Help update the website with news, events, and other relevant content.
  • Support drafting and sending internal and external communications, including newsletters and emails.
  • Assist with promotion events and activities through various channels.
  • Assist in creating and organising marketing materials.

General Responsibilities

  • Opening & closing facilities when required.
  • Provide coverage for holidays/sick leave
  • Follow all health and safety regulations and stay up to date when required.
  • Comply with all organisational policies and procedures

Terms and Conditions

Place of Work: Norton Park Business Centre, 57 Albion Road, Edinburgh, EH7 5QY

Hours of Work: 14 hours per week: 9:00 am – 5:00 pm on Thursdays and 9:00 am – 4:00 pm on Fridays (including a 1-hour unpaid lunch break).

Salary: £24,000 pro rata

Pension: Norton Park SCIO run a contributory pension scheme, which staff are encouraged to join. Employer contribution 7% and employee contribution 5%.

Annual leave: Pro rata entitlement of 25 days of annual leave plus 10 public holidays each year. Note: Annual leave must be used during the Christmas and New Year break.

Volunteering leave: Pro rata entitlement of 2 paid days of leave per year for approved volunteering activities.

Health Insurance: Free Healthcare coverage through Benenden Health

Person Specification

Required experience, qualities and skills.

  • Interest in working within the Voluntary Sector.
  • Ability to work quickly and accurately under pressure.
  • Strong interpersonal and communication skills, with the ability to handle stressful situations.
  • Ability to work independently and on own initiative.
  • High competency in Excel and Word (formal qualifications preferred).
  • Strong organisational skills with the ability to prioritise workload.
  • Flexibility and a team-oriented, self-motivated attitude.

Desirable criteria

  • Formal qualifications in admin or reception services.
  • Previous experience in a reception or similar role.
