Role

An exciting opportunity has become available for an experienced Administrator to join our team. You will provide administrative support in the delivery of active travel projects across Scotland. While also assisting with the daily smooth operation of the Edinburgh office.

You will work closely with the Heads of Department, Executive Assistants, and the Business Support team to provide effective administration, operational, and project support to the staff in the organisation. Always seeking to improve the office environment by listening to feedback and building on what changes could be made to mold it into a more efficient space.

Contributing to the streamlining of the office you will cover the office desk and be the first point of contact for welcoming guests and visitors. While also responding to general enquiries via telephone (using Horizon software).

Within this position you will be managing incoming and outgoing e-mails and meetings assisting in compiling agendas and minutes. Also dealing with general enquiries to the Sustrans inbox. You will be dealing with general administrative responsibilities including data entry, filing, and contacting Partners as directed by the Manager.

Candidates should be based within the Edinburgh area with travel expected to the hub/office base at least three days a week.

About you

You should have experience in office administration and be able to demonstrate skills working with Microsoft Excel. With the ability to build relationships with ease across a wide range of people through being a skilled communicator. Along with excellent telephone skills to manage phone calls into the office.

You will be skilled in scheduling diaries for meetings and booking travel for department events. Doing this by using Outlook to send all colleague emails and invites and a background in navigating an inbox would be ideal.

You will have excellent attention to detail with assessing, revising, and logging documentation accurately and efficiently. Knowledge surrounding office health and safety as an asset to the position.
