Finance Assistant

  • 26.25 hrs per week (0.7FTE) or 30 hours per week (0.8 FTE) between Monday – Friday. £16,800 pro rata for 0.7 FTE /£19,200 pro rata for 0.8FTE.

Role

Purpose

The Finance Assistant will contribute to the effective and efficient financial and administrative management of Impact Arts.

Main Responsibilities:

  • To assist in ensuring the timeous and accurate recording on Xero Accounts of all income and expenditure, in line with Impact Arts’ financial procedures with the inclusion of The Boardwalk, Impact Arts venue hire social enterprise
  • To deposit cheques and cash at the bank
  • To administer and reconcile petty cash, prepaid cards and banking feeds
  • To assist with financial reporting as per project and funder requirements
  • To process purchase invoices and manage purchase order system via apps, Xero and bank
  • To process payments for project participants and payroll for sessional staff wages
  • To carry out credit control
  • To reconcile and issue all sales invoices
  • To assist with online payments, preparation of weekly payment runs, in line with Impact Arts’ spend policy
  • To support with the induction of new employees
  • To work with the Finance Co-ordinator to document and improve systems and procedures
  • To assist with the central administration systems of Impact Arts, ensuring that financial processes and procedures are embedded across the staff team as well as ensuring that written procedures/ how to guides are documented and kept updated
  • To assist the Finance Co-ordinator and Head of Finance & Corporate Services in tasks as directed
  • To assist with all month end, quarter end, year end and audit processes
  • To maintain the finance filing system

You will be expected to be proactive and use own initiative and judgement to prioritise daily tasks and use this judgement in order to forward plan in the short to medium term.

  • To participate in training, meetings and events as required
  • To support and promote Impact Arts’ Values
  • To carry out any other duties appropriate to the post in line with Impact Arts’ needs
