We are seeking a highly organised and motivated individual to join our team as a Programme Administrator for Peoplehood. Reporting directly to the Programme Manager, the successful candidate will play a crucial role in overseeing the administration of this innovative project spanning three neighborhoods in Scotland.
In this role, you will provide comprehensive support to the Programme Manager, handling tasks such as diary management, proofreading, and general secretarial support. Your responsibilities will also extend to producing, formatting, and sharing/distributing essential programme documentation, including minutes, reports, and presentations.
A key aspect of this position involves managing the administration of grant claims and other information as required by funders or partners, with guidance and support from the Programme Manager. You will collaborate closely with thematic leads to ensure project reports are timely and accurate.
Effective communication is paramount in this role. You will be responsible for maintaining professional, clear, and concise communication with team members, partners, and other stakeholders. As an integral team player, you will collaborate and support colleagues to ensure project success, promptly responding to queries as needed.
Attending Project Advisory Group meetings, taking minutes, and providing administrative support will be part of your routine. Serving as the key liaison for the Programme Manager, you will coordinate information flows and communication within the project team. Additionally, meticulous record-keeping relating to all aspects of the project is a fundamental aspect of this role.
In the broader context, you will demonstrate excellent relationship management and rapport-building skills with all Blackwood stakeholders, including staff members, customers, and external suppliers. Operating with minimal supervision, you should be highly organized, self-motivated, and possess a strong ability to prioritize tasks and identify potential risks.
