We are currently recruiting an Administrator to join our busy CGL service in Forth Valley. As well as undertaking administrative tasks, this post will involve daily meeting and greeting of all service users and visitors to the service so having a friendly and courteous manner is essential.

About the role

  • Working front of house in the service reception area
  • Greeting and managing external visitors/professionals, ensuring they are signed in and out of the building
  • Managing the reception area to ensure we are providing a confidential environment
  • Discussing what support the service offers
  • Liaising with staff to ensure service users needs are met
  • Greeting service users as they attend and notifying the appropriate member of staff they are here, signposting to other services, advising of upcoming appointments
  • Navigating our case recording system to ensure we are recording all conversations and presentations at the service
  • Capturing servcie data in support of Data Analyst
  • Managing local input to National Data Systems

About you:

  • Knowledge of general office procedures
  • IT literacy including proficiency in word processing, excel spreadsheets and data entry
  • Good interpersonal skills and a willingness to work flexibly as part of a team
  • The ability to respond to appropriate requests for assistance, maintaining confidentiality whenever necessary
  • Solid numeric skills
  • Good organisational skills
  • Confident and effective communication skills, both verbally and in writing
  • A professional, empathetic and non-judgmental attitude towards service users
  • The ability to respond flexibly to the demands of the post
  • The ability to work as a member of a team
