Role

ELCAP is a Scottish charity which provides care and support for individuals who live with learning disabilities, physical disabilities and mental health problems.

We have an exciting opportunity to join our Administration at a monumental time in our organisation’s development. Working as part of a small team and reporting to our Business Manager, our Administrator will provide a varied and vital support service to staff and the individuals we support.

We are seeking for someone who enjoys working in fast paced environment and likes variety, an individual who has a great work ethic and can support forward thinking change in a service focused on quality.

Job context

The purpose of the post is to work as part of a team to support the effective and efficient management of ELCAP. The post has key areas of responsibility:

  • Providing the first point of contact for all of our stakeholders, including reception duties in person, online and by telephone.
  • Supporting the transition to our new internal system and developing this to meet the needs of the business along with the team.
  • Data inputting and analysing critical information in relation to business outcomes.
  • Demonstrating excellent attention to detail and customer service with strong skills in prioritising and managing a diverse and interesting workload.
  • Ensuring the smooth day-to-day running of all administrative functions, including support for staff recruitment and training.
  • Maintaining our social media platforms – for example, Facebook, Twitter and our website - to promote ELCAP and help us extend our reach.
  • Supporting and updating Policies and Procedures

This is a permanent, full-time post of 35 hours per week, predominantly Monday to Friday with occasional flexibility required to meet the needs of our service.

Essential

  • Minimum of two years experience in an administrative role
  • Scottish Vocational Qualification (SVQ) Level 3 in Business and Administration, or equivalent.
  • Experience in Customer service

Skills

  • Very good interpersonal skills, with the ability to relate well to people from a range of backgrounds and experiences.
  • Very good communication skills, in verbal and written forms.
  • Ability to work well within a team and work on your own initiative
  • Excellent IT skills across the main Microsoft products.
  • Excellent organisational skills, with the ability to prioritise tasks and work well under pressure in order to meet internal and external deadlines
  • Ability to consistently demonstrate the highest levels of personal and professional integrity and accountability, including consistent attention to detail.
  • Ability to be resourceful and solutions focused with enthusiasm and a positive outlook.

Experience

  • Experience of working in a busy and varied administrative post.
  • Experience, knowledge or understanding of health and social care is an advantage.
  • Experience in minute taking in a variety of settings
  • Experience in data inputting, retention and maintaining database information
  • Experience of maintaining websites and social media platforms.
  • Experience of document design packages.
  • Experienced / willing to learn safe recruitment processes

Protecting Vulnerable Groups Scheme

The post requires a degree of contact with children and vulnerable adults. The successful candidate will be required to join the Protecting of Vulnerable Groups (PVG) Scheme. The PVG Scheme is managed and delivered by Disclosure Scotland.
