The Role

Children’s Hospices Across Scotland is seeking a dedicated and experienced Facilities Lead to ensure the smooth operation of our facilities across CHAS. Collaborating closely with the Head of Estates and Facilities, you will be responsible for implementing best value procurement practices and ensuring services are well-coordinated, meeting agreed service levels, and staying within budget. As the Facilities Lead, you will play a crucial role in providing effective site management for CHAS office sites. Understanding the needs of our staff, you will create high-functioning, flexible spaces that foster creativity.

Key Responsibilities:

  • Procure services and manage contracts, ensuring they meet our high standards while staying within budget.
  • Oversee contractors and suppliers, maintaining quality standards in alignment with our Quality Management procedures.
  • Set up and ensure ongoing maintenance of the Facilities Management System (Sentinel) specific modules including Facilities Helpdesk/Planned Preventative Maintenance Planner/ Asset Inventory/ Sub-Contractor Management
  • Develop and manage the Facilities Management budget and plan for future investments.
  • Coordinate and report on facilities management activities both internally and externally.
  • Support site management of CHAS offices, creating high-functioning, flexible spaces that foster creativity.
  • Ensure compliance with legislative and legal requirements across our property portfolio.

The Specifics

Main Tasks:

  • Review service contracts to ensure quality and compliance, identifying opportunities for improvements in procurement.
  • Assist in planning and executing contractor work on CHAS sites, prioritising safety and budget considerations.
  • Maintain supplier and contractor risk assessments and method statements.
  • Monitor and implement the annual Planned Preventative Maintenance schedule.
  • Coordinate routine maintenance and compliance activities to meet regulatory requirements.

Key Decisions:

  • Work autonomously, prioritising workload and recommend alternative procurement routes for better value and quality.
  • Provide project support and recommendations for office property projects.
  • Research, evaluate, and review sub-contractors and suppliers.
  • Foster positive relationships with external suppliers and service providers.

Communication:

  • Regularly communicate with the wider team, suppliers, and staff on facilities and property management.
  • Employ proactive verbal and written communication, data analysis, and reporting.
  • Maintain frequent communication with sub-contractors/suppliers and potential suppliers for procurement and contract management.

- Collaborate with external consultants and professional services organisations.

About you

We are seeking a highly experienced and proactive Facilities Lead with a diploma-level education or equivalent vocational training, and a minimum of 5 years of industry experience. Additionally, we value a strong track record in coordinating facilities management and property services within a multi-site environment.

Your practical knowledge of building management compliance and health & safety legislation, combined with excellent proficiency in Microsoft Office suite packages and adaptability to other software, will be invaluable in this role. As a highly organised individual with excellent analytical and problem-solving skills, you will robustly manage facilities services budgets, prioritise effectively, and efficiently plan workloads across the team, effectively handling complex issues simultaneously.

As a Facilities Lead, your expertise in office management will be invaluable in overseeing the daily operations of our facilities. You will work within a Facilities and Property function, handling competing demands and interruptions, all while skilfully prioritising workloads to maintain efficiency.

Your experience in multisite, remote site support delivery will be essential as you manage and support various locations across CHAS. Your knowledge of procurement practices and procedures will contribute to the cost-effective and seamless functioning of our organisation.

With a background in formulating policies and procedures, you will establish best practices that align with CHAS's mission and values. Your budget management experience in will be instrumental in ensuring optimal resource allocation and financial sustainability.
