We have an opportunity for a customer-focused, highly organised and detail-oriented person to join our HR team who will provide effective and efficient HR administrative support to the HR Manager in accordance with best employment practice.

The College is an independent professional membership organisation and registered charity, which exists to support the profession to deliver the highest standards in healthcare provision.

We have a strong UK and international presence with over 14,500 Fellows and Members in over 100 countries. The College helps qualified doctors to pursue their careers in specialist (internal) medicine through our world-renowned education and training programme. We ensure that the views and practical clinical experiences of our membership are taken into account by health policymakers throughout the UK and communicated to the media and the public. We provide resources and information to support and facilitate professional development for physicians throughout their careers.

The Role

You will provide an effective and efficient HR service to a high level of accuracy while delivering a professional level of customer service. As well as assisting with day to day enquiries you will be responsible for supporting the delivery of a range of HR services.

Key activities:

  • Leading recruitment campaigns including liaising with recruiting managers, placement of job adverts, processing job applications, preparation of shortlists and interview packs for panel members and preparation of all associated communications with applicants.
  • Ensuring the on-boarding of new staff is effectively carried out including carrying out pre-employment checks and induction pack preparation.
  • Maintaining all active and leaver people files and records, ensuring these meet current legislation, GDPR requirements and College retention policies.
  • Provide administrative support in the co-ordination of learning and development activities for College staff.

The Person

The HR Assistant will have experience of supporting the delivery of a range of HR services previously in at least one of the following areas: recruitment, contracts of employment, employee life cycle transactions and general HR administrative functions.

You will have meticulous attention to detail, the ability to learn and deliver set internal procedures, as well as excellent communication and team working skills. The right candidate will be a proficient user of the Microsoft Office suite and possess some knowledge and understanding of employment law.

Remuneration Package

The salary for this role will be £28,830 per annum pro rata (pay award pending), plus benefits. Additional benefits include:

  • Pension: with employer contributions of 9%.
  • Holidays: 23 days’ annual leave (with incremental increase over five years to 28 days) and 11 days’ public holiday/College close downs.

We provide resources to support and facilitate professional development for doctors throughout their careers and have a strong UK and international presence with 15,000 Fellows and Members in over 100 countries. Alongside our commitment to lifelong learning, we are motivated by influencing and shaping health policy at the highest level.

Over the course of 2023/24 we undertook a comprehensive strategic governance review in order to align the College’s governance framework and decision-making structures with best practice in modern charity governance. As a result of this review, and for the first time in our 343-year history we are introducing a Board of Trustees. Whilst the majority of these Trustees will be clinicians appointed from the College’s Council, three will be lay members appointed for their skills and expertise.

We are specifically looking to identify new Board Trustees who bring relevant knowledge or experience within:

  • Accountancy or strategic financial management – Experience in overseeing financial and governance frameworks, with a strong grasp of financial strategy
  • IT / Digital Transformation – Proven expertise in leading business technology and process transformations, or in championing a "digital first" approach to modernise and streamline operations
  • Marketing & Communications – Experience in building and enhancing an organisation’s brand, both domestically and internationally, to enrich its reputation
  • Fundraising – including relevant experience in maximising the income generation potential of an organisation’s brand and securing income from a variety of sources, including philanthropy
  • Member Value Proposition –Experience ensuring an organisation effectively meets the current and future needs of its members whilst delivering clear value for money

This is an especially exciting time to join the College as we look to appoint new trustees from a wide range of backgrounds, able to bring a diverse range of skills and expertise to the new Board. We are also seeking people who will embrace and understand the challenges of guiding a complex organisation through a period of significant change.

These are voluntary roles without remuneration. Reasonable travel expenses will be reimbursed.
