The Robertson Trust are looking for a Receptionist / Administrator, based at our Stirling charity hub The Barracks Conference Centre, to help us provide an excellent customer experience to all that visit us. The Receptionist / Administrator will have current demonstrable experience of working in a customer facing role, providing a high standard of professionalism and excellent customer service.
The key focus of the role is to support the Venue Manager in the efficient, safe, and effective operation of The Barracks site, when hosting staff, visitors, and tenants. This involves being the first point of contact for the site, providing a welcoming environment with a courteous, friendly, and professional manner.
Key responsibilities:
• Answer incoming calls in a prompt and professional manner, responding to stakeholders needs accordingly.
• Monitor booking mailbox, answer emails and offer advice around booking spaces within the Barracks Conference Centre
• Maintain safety and security, complying with procedures and regulations and controlling access by issuing visitor badges and security fobs, as required.
• Perform duties of Chief Fire Warden, ensuring all guests receive full details of evacuation process.
• Liaise with and assist the Facilities Assistant on event planning and room set up, including any Audio-Visual requirements, when required.
• Liaise with the catering supplier to manage any catering requirements for meetings and events.
• Minute taking at meetings, when required.
• Liaise with approved suppliers and contractors, as required, and ensure any compliance visits are recorded.
• Support reception at Robertson House site in Glasgow, when required.

The Person
We are looking for someone with current demonstrable experience of working in a customer facing role, where you can communicate, build, and maintain relationships with multiple stakeholders. You should have excellent communication, organisational and time-management skills with the ability to adapt and prioritise conflicting demands effectively. You should be proficient in using Microsoft Office and it’s desirable you have a good understanding of Sharepoint, Microsoft Teams and Zoom. It is essential that you can work as an individual and collaboratively as part of a team, with excellent problem-solving skills and attention to detail.
