Job Summary

The Office Admin Manager post will be to work closely with Service Manger by providing support for the effective operation of our Charity, (Deaf Services Lanarkshire).

We deliver community services, including professional interpreting, training and translation services. This role oversees administrative systems, supports staff and volunteers, coordinates interpreting and training services and social activities and helps ensure the organisation operates efficiently, ethically, and in line with its charitable mission.

Due to the communication need of the Charity Hybrid working is not an option .

The Office Admin Manager will report to the Service Manager in the first instance, thereafter the Board of Trustees.

Key Responsibilities

Office & Administrative Operations

• Manage day-to-day office operations for the charity
• Maintain administrative procedures, records, and filing systems
• Handle incoming calls, emails, and general inquiries
• Support leadership with scheduling, correspondence, and reporting
• Ensure smooth communication across teams, interpreters, and volunteers

Interpreting Service Co-ordination

• Assist with scheduling interpreters for community, medical, legal, and social service assignments
• Maintain interpreter and volunteer interpreter databases
• Communicate assignments, policies, and updates clearly and promptly
• Track completed assignments for reporting, billing, or grant purposes

Client, Community & Stakeholder Support

• Act as a point of contact for service users, partner organisations, and funders
• Coordinate service documentation and confirmations
• Support service quality, accessibility, and community engagement goals
• Support Service Managerat Public Community Events promoting the Charity

Financial & Grant Support

• Assist with invoicing, expense tracking, and bookkeeping using the Xero System
• Assist Service Manager – with budgets and project proposals and management.
• Support donation records and administrative grant documentation
• Manage office supplies and service-related resources

Compliance, Safeguarding & Confidentiality

• Support Service Managerto ensure compliance with charity regulations, contracts, and ethical standards
• Maintain confidentiality of service users, interpreters, and staff
• Support Service Managerto ensure safeguarding, data protection, and audit requirements

Employee Support and Management

• Supervision of Volunteers
• Support Service Mangerto prepare for 6-weekly staff meetings/updates
• Support Service Managerto identify any Issues and review staff training
• Support Service Managerand QS Co-Ordinator in terms of Service Delivery and planning.
• Support Service Managerto ensure adherence to HR and Health and Safety policies and procedures, as well as sickness and absence management and ensure 6monthly/annual updates are completed.

Essential Skills & Qualifications Required

• Experience in office management, non-profit administration, or a similar role
• Strong organisational, time-management, and multitasking skills
• Excellent communication and interpersonal abilities
• High level of discretion and professionalism
• Proficiency in office software and database systems and has experience of digital accounting systems (Xero) or equivalent
• Qualified to Higher level in English (SCQF Level 6) or equivalent

Desired Qualifications

• Familiarity with interpreting or language services
• Knowledge of grant reporting or funder requirements
• Qualified to BSL Level 3 or above or from the D/deaf Community
• Experience working with diverse communities

Prison Fellowship Scotland is a Christian charity working with the men and women in Scotland's prisons. Through our partnership with the Scottish Prison Service, we support chaplains by running programmes that allow people in prison to explore and respond to the Christian faith and to take responsibility for the harm they have caused. We also support the families of those in prison.

Purpose of the role

To lead the delivery and development of the Sycamore Tree Programme across Scotland and contribute to the growth of restorative justice practice within the criminal justice system, working in partnership with prisons, volunteers, and external organisations. Additionally, role will also promote the work of Prison Fellowship Scotland within churches and contribute to wider awareness and understanding of justice issues. Beyond this part of the role will be to work well as part of the wider PFS team as we actively look at new ways of growing the work of the organisation.

The Facilities Manager will lead the Facilities Management Team covering offices at 5 Charlotte Square, Broadstone, 211 Sauchiehall Street and also providing support to NTS locations in the Central Belt. This role will primarily involve the presentation of NTS Central Offices as a high standard, well organized workplace; it includes responsibility for compliance and security, administration and planning to make the Central Offices run smoothly,-.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

General Tasks

• Managing the sites at 5 Charlotte Square, Broadstone and 211 Sauchiehall Street.
• Supporting the Trust at other sites including Pitreavie and Stenhouse – there will be other sites as required.
• The postholder will be a keyholder for the buildings, with access to secure areas, including confidential information.
• The post-holder will provide a high standard of service to internal customers and to visitors to ensure that the Trust’s reputation is maintained, responding to enquiries and directing them to the appropriate members of staff.

Support Services

• Responsible for supporting facilities as required to regular head office staff and off-site staff visiting Broadstone, including but not limited to,
  • Receiving and processing incoming and outgoing mail and packages in line with safety procedures.
  • Operation and monitoring of resource booking systems, (eg, workstation requests, car parking, meeting rooms)
  • Ordering, control and replenishment of facilities supplies, such as hygiene consumables, stationery, etc in line with delivery procedures and working closely with the Procurement team.
  • Working with IT to ensure that central printing and copying equipment is serviceable and well stocked and providing support with meeting room audio-visual equipment.
• Overseeing the routine of the Central Offices including the provision of building manuals and compliance.
• Coordinating and procuring furniture and fittings.
• Arranging catering for internal meetings.

Health and Safety

• Hosting and organising induction processes for visitors and new personnel.
• In line with stated Trust policies and approaches to ensure the health and welfare of staff/volunteers and visitors in compliance with legislation.
  • Assessing and dealing with emergency response situations as they arise in line with business continuity procedures.
  • Ensuring the provision of a high standard of hygiene through external contractors, comprising daily cleans of the office and additional cleaning services as required.

Maintenance and building checks,

• Including but not limited to:
  • Carrying out property condition/safety and fire safety checks and inspections in line with Safe Systems of Work.
  • Initiating and monitoring contractor repair and maintenance in line with contractor management procedures and legislation.
  • Storing, maintaining and controlling the use of all tools/equipment at NTS properties and to carry out regular audits of same.
• Maintaining on-line records in relation to the elements above to ensure compliance with legislation.

The current duties of this job do require a criminal records (Disclosure Scotland) check to be carried out.

The Role

This is a senior management position that will require a creative mindset with practical ability to deliver. We are seeking a collaborative, community-minded Company Producer to join our team. In this role, you will manage the end-to-end delivery of our multi-arts programs outlined in our annual plan and contribute to the development of funding streams and partnerships for future projects. Art27 Scotland is a small team of Embedded Artist, General Manager and Culture Collective Co-ordinator. During project delivery the team expands and contracts significantly during these peak periods throughout the year.

You will report to the Board on a regular basis to discuss the programme and budgets and address any challenges arising.

You will have a line management and support role for key staff ensuring regular 1-1s and clear communication across the organisation.

You will be the key liaison for projects and partnerships, bridging the gap between artistic ideas, partners, funding and project logistics. You will ensure our co-creation processes are safe, ethical, and highly accessible.

This is a role for a creatively minded producer who values the human process of making art just as much as essential high production values of the final presentation.
