Thanks to support from Museums Galleries Scotland Leadership Capacity Fund, The Robert Burns Ellisland Trust seeks to appoint a Finance and Funding Co-ordinator to support delivery of the “Saving the Home of Auld Lang Syne”, a major heritage-led regeneration project focused on the conservation, restoration and reinterpretation of Ellisland Farm, the home built by Robert Burns in 1788.

Ellisland is internationally significant as the place where Burns wrote Auld Lang Syne and Tam o Shanter. The project has successfully completed RIBA Stage 3, secured Planning Permission and Listed Building Consent, and is currently progressing through RIBA Stage 4 technical design work.

The Trust has secured significant development funding from organisations including:

• South of Scotland Enterprise
• Dumfries and Galloway Council
• UK Shared Prosperity Fund
• The Holywood Trust

As the project enters an increasingly complex delivery and fundraising phase, the Trust wishes to strengthen operational capacity to support project financial administration, grant monitoring and reporting.

Purpose of the Role

The role will support the co-ordination and administration of multiple live funding streams and major capital project development activity.

The role will support:

• grant claims and monitoring,
• project financial administration,
• expenditure tracking,
• spreadsheet and reporting systems,
• funding compliance,
• and project co-ordination.

The successful candidate will help ensure that project finances, grant claims, supporting evidence and monitoring information are accurately maintained across multiple funding streams and project phases.

The role will work closely with the Project Director, Operations Manager, accountants and consultants and will attend relevant project and funder meetings in order to develop a detailed understanding of project funding requirements and reporting obligations.

This is a practical project delivery and co-ordination role intended to strengthen organisational capacity and support the effective day-to-day management of the project and relieve pressures on senior staff.

Key Responsibilities

Grant Claims & Funding Administration

• Support preparation of grant claims to organisations including The National Lottery Heritage Fund, South of Scotland Enterprise, UK Shared Prosperity Fund and Dumfries and Galloway Council
• Maintain accurate records of invoices, expenditure, VAT, payroll evidence and supporting documentation
• Co-ordinate evidence and paperwork required for grant claims and monitoring returns
• Assist with grant compliance and reporting requirements

Financial Administration & Controls

• Support implementation of project financial controls and monitoring systems
• Assist with processing invoices, expenses and payment workflows through Xero and associated systems
• Support the development of purchase order and expenditure tracking systems
• Help maintain accurate project financial records and audit trails
• Assist with co-ordination of approvals and supporting documentation for payments and claims

Project Monitoring & Reporting

• Maintain and update project monitoring spreadsheets and grant trackers
• Support reconciliation between project spreadsheets, grant claims and Xero records
• Assist the Project Director and Operations Manager with expenditure monitoring and reporting
• Help establish tracking systems for new project phases and funding streams

Project & Administrative Support

• Prepare spreadsheets and project information to support funding applications, reporting and project management
• Support preparation of reports and papers for funders, trustees and consultants
• Maintain organised digital filing systems and project records
• Assist with ad hoc project administration linked to funding and project delivery

Liaison & Meetings

• Attend relevant project meetings and funder meetings
• Support co-ordination of information between staff, consultants, accountants and funders
• Assist with preparation of information required for procurement and Delivery Phase planning

JOB PURPOSE

The National Trust for Scotland is Scotland’s largest membership organisation and Scotland’s largest charity land manager. We manage many of Scotland’s most significant woodlands, from the extensive Caledonian pinewoods of Mar Lodge to rainforest hazelwood’s in the Hebrides and endemic Whitebeam woodlands on Arran.

As a founding member of both the Alliance for Scotland’s Rainforest and Caledonian Pinewood Partnership and as a key delivery partners with the Scottish Government for landscape scale ecological restoration of native woodland in Scotland, we are recruiting a post to help drive this exciting work.

You will lead the Trusts outreach for native woodland restoration across Scotland, developing several large scale projects. You will build partnerships with private landowners, communities of place and communities of interest, including other eNGOs and conservation organisations. You will have the backing and support of our nature, fundraising, planning, community engagement, estates and media teams.

The focus of your work will be developing two Alliance for Scotland’s Rainforest landscape scale projects in West Lochalsh and on Arran and provide initial contact and support to pinewood managers who look after threatened remnants, to bring their sites into recovery.

We are looking for strong communication & diplomacy skills, which can be influential at a network scale. Someone who can build trust and influence in land management situations, across a diverse range of partners with different interests and objectives. Someone who can develop partnership project plans, acting as the bridge between our internal expertise, existing and new partners. In particular you will develop delivery project content to a “shovel ready” stage, so your fundraising colleagues can draft applications.

KEY RESPONSIBILITIES

• Making initial contact, maintaining and/or developing ongoing communication and liaison with external landowners, stakeholders and associated organisations.
• Understanding external landowner’s and communities’ values, objectives and constraints and communicating the Trusts, with a view to building trust, understanding and cooperation in relation to collaborative, nature positive land management.
• Develop collegiate partnership operations and memoranda of understanding with both internal and external stakeholder input and support.
• Liase with internal NTS expertise across multiple disciplines, to inform your delivery of external communications and advice to stakeholders.
• Develop collaborative landscape scale funding bids across multiple estates and landholdings, including both NTS land and externally owned land, in association with the Trusts fundraising team.
• Supporting applications for government grants including Scottish Forestry Grant Scheme, Agri Environment Climate Scheme, Nature Restoration Fund etc.
• Coordinate delivery of landscape scale nature restoration projects across multiple estates and landholdings, including both NTS land and externally owned land, including budget management.
• Procure and manage contracts associated with landscape scale nature restoration projects, monitor delivery of grant conditions and complete grant claims & reports.
• Organise partnership meetings and events to strengthen networks and collaboration within the partnership.
• Write reports for partners and funders showing progress against agreed objectives and funding obligations.

The National Trust for Scotland is looking for an experienced Senior Conservator to lead conservation activity across our nationally important collections and historic interiors.

You’ll lead the planning and delivery of collections conservation at the National Trust for Scotland, managing a team of regionally based Conservators within the Collections team. You’ll also provide direct conservation support for a portfolio of Trust sites in our Highlands and Islands region including castles, visitor centres, and island properties. This role combines team leadership with hands-on oversight of preventive and remedial conservation, ensuring best practice, consistency, high standards of training and sustainability.

About You

• Qualified in conservation (or equivalent experience)
• Proven experience leading teams and managing projects
• Strong knowledge of collections conservation best practice
• Skilled communicator with experience training or mentoring others
• Comfortable working across multiple sites and travelling regularly
• Full UK driving licence
• ICON accreditation and experience commissioning conservation work are desirable.

Working alongside an Operations Administrator, you will support the Senior Team and Operations Manager at Big Noise Govanhill by providing excellent administrative support, procedures and processes to ensure the continued success and growth of the programme. You will also have face to face engagement with adults and children at after-school club, ensuring a smooth-running signing in and out procedure.
