Role
What’s the job?
We are looking for a welcoming and compassionate individual to join our team as a First Contact Team Member. You’ll be the friendly face of our Advice Hub, the first point of contact for students seeking guidance. Your role is to make every student feel heard, supported, and connected to the right resources. The main parts of the role are:
- Frontline Student Support: Be the first person students meet when they come to the Advice Hub. Your warm welcome, active listening, and helpful attitude will make all the difference in their experience.
- Information and Guidance: Quickly assess what students need, whether it's academic advice, mental health resources, or support with financial challenges. Direct them to the most suitable support services.
- Creating a Positive Atmosphere: Contribute to an inclusive, welcoming environment where students feel comfortable discussing their concerns. Help build a community vibe that encourages students to seek help when they need it.
Ideally, we are looking for someone who is approachable, resourceful, and skilled at making people feel at ease. You should be a great communicator, adaptable, and capable of handling a variety of queries with a positive attitude.
This is a part-time role – working 21 hours per week. There is some flexibility in the hours, although availability on a Monday and Tuesday will be required. There may be occasional weekend work or evening work (for example in Freshers’ Week) but you would be given plenty of notice.
Who are we?
We are Heriot-Watt University Student Union - an independent charity that is run by and for students. While we are a charity we also run trading services (food & drink venues and shop) that aim to make a surplus. We use this surplus to invest in other vital student support services such as advice & support and volunteering.

Edinburgh Napier Students’ Association (ENSA) exists to enable students to make the most of their university experience. We do this by representing, supporting and developing Edinburgh Napier students to be successful in their studies; to try out new things; to engage in, and contribute to, university life; to be healthy and happy; to bring about positive change; and to have fun.
Our Advice service provides independent, impartial, non-judgmental and confidential advice to all Edinburgh Napier University students on University procedures, student funding and housing rights. We aim to empower students to redress their situation, supporting them through their time at University and providing advocacy from time to time. The service is available to students in person, phone, MS Teams and email.
We are looking for a real people-person to join our team – someone who is organised, articulate and empathetic to provide high-quality, professional, student-focused advice and guidance. The role involves supporting students who may be in challenging emotional circumstances and guiding students to a successful student experience.
Key Responsibilities:
- Provide 1:1 advice for students - listening to their needs, assessing individual circumstances and providing guidance in response to their needs.
- Manage caseloads from initial contact to exit and ensure records are accurate and up-to-date.
- Develop and maintain partnerships with staff at Edinburgh Napier University, and external organisations, for the benefit of students.
- Work with the Advice team and wider ENSA Team to support activities that promote student wellbeing and resilience.
The main role and responsibilities may change from time to time and the post holder is required to undertake any additional duties as deemed appropriate.

Job purpose
The post holder will provide comprehensive and effective communication and administrative support, as well as financial assistance and reception service. This will include administrative support and operation of computer packages to produce reports, statistics, and correspondence necessary for the day-to-day running of the Scottish Independent Advocacy Alliance.
