Key information for applicants

Conditions of Appointment

Non-Executive Directors are appointed for an initial period of four years, with a maximum of two terms of four years. Appointments are subject to approval at the Annual General Meeting.

Staff

scottishathletics employs 33 members of staff and 23 Club Together Officers.

Commitment

The successful candidate will be required to attend five Board meetings per year and contribute to Board sub-committees where appropriate. The expected time commitment is 5-8 days per year.

Remuneration

This is a voluntary role.

Travel and Subsistence

The post holder will be required on occasion to travel to meetings within Scotland. Travel and subsistence will be reimbursed in accordance with the scottishathletics policy.

Other Information

The successful candidate will be required to complete a fit and proper persons declaration and regularly update their declaration of interests.

Role 1: Non-Executive Board Director (including Board Equality Champion)

About the Role

Our Board is seeking a new Director with a background in equality, diversity and inclusion preferably either in a sporting context or through lived experience. Alongside the other members of our Board, you will be responsible for ensuring the best long-term interests and prosperity of (scottishathletics) by supporting and challenging the executive team in the direction of its affairs, while meeting the appropriate interests of its members, and relevant stakeholders, taking into account legislation, relevant regulations and commercial considerations.

General duties and responsibilities:

  • Set objectives, define policy and work with the executive team to develop strategic direction;
  • Incorporate good governance and ethical standards into daily activities and ensure compliance of policies, laws and regulations;
  • Ensure the CEO provides excellent leadership, planning, organisation, control and succession;
  • Monitor the performance of scottishathletics against the agreed goals and ensure present plans and actions provide for scottishathletics’ continuity;
  • Manage risk; and
  • Ensure the Board receives and reviews regular financial information concerning the management of scottishathletics and is informed in a timely manner about any concerns about the activities of scottishathletics

Specific duties and responsibilities:

  • Assume the role of Board Equality Champion for scottishathletics leading and informing discussion and planning at Board level on equality, diversity and inclusion;
  • Support the Equality, Diversity and Inclusion Advisory Group to ensure equality, diversity and inclusion is embedded throughout the organisation and across the wider sport;
  • Liaise with the Equalities Officer to provide the Board with updates, progress reports, information and advice relating to equality, diversity and inclusion;
  • Support the Equalities Officer and senior management team to evaluate and continually enhance the work the organisation does to improve equality, diversity and inclusion in the sport; and
  • Promote and demonstrate anti-discriminatory good practice.

Role 2: Non-Executive Board Director (Commercial)

About the Role

Our Board is seeking a new Director with experience and expertise in building, developing and retaining commercial relationships either in an executive and/or non-executive role. Alongside the other members of our Board, you will be responsible for ensuring the best long-term interests and prosperity of scottishathletics by supporting and challenging the executive team in the direction of its affairs, while meeting the appropriate interests of its members, and relevant stakeholders, taking into account legislation, relevant regulations and commercial considerations.

  • Support the Board, CEO and Head of Communications to promote the scottishathletics brand, package commercial assets and secure sponsorship and strategic partnerships to further the organisations objectives;
  • Advise and support the executive team on building, developing and retaining commercial and strategic partners;
  • Support and influence the delivery of the ‘Commercial and Partnerships’ pillar of the scottishathletics strategy ‘Building a Culture of Success (2023-2027)’;
  • Work with the Chief Executive Officer to oversee the sourcing, negotiating, evaluation and retention of sponsorship and partnership agreements;
  • Ensure the Board is equipped to make well-informed commercial decisions; and
  • Represent the Board of Directors on, and Chair, the Commercial Committee.

About the Role

Our Board is seeking a new Company Secretary to ensure the organisation continues to operate within a strong governance and compliance framework, meeting all legal and regulatory requirements, as well as those set out in scottishathletics governing documents.

You will support and advise the Board and senior leadership team to enable effective decision-making, oversight, and continuous improvement of governance practices.

General duties and responsibilities

Support and advise the Board of Directors to:

  • Set objectives, define policy and work with the executive team to develop strategic direction;
  • Incorporate good governance and ethical standards into daily activities and ensure compliance of policies, laws and regulations;
  • Ensure the CEO provides excellent leadership, planning, organisation, control and succession;
  • Monitor the performance of scottishathletics against the agreed goals and ensure present plans and actions provide for scottishathletics’ continuity;
  • Manage risk; and
  • Ensure the Board receives and reviews regular financial information concerning the management of scottishathletics and is informed in a timely manner about any concerns about the activities of scottishathletics

Specific duties and responsibilities:

  • Ensuring the organisation has a robust framework for compliance with governance standards, and for applying the recommendations of the SGB Governance Framework, the guidelines of other appropriate sector bodies and other good practice.
  • Ensuring ongoing compliance by the organisation with the Articles of Association, relevant Terms of Reference and any other associated documents designed to ensure the smooth operation of the formal decision-making and reporting procedures.
  • Advising the Board, CEO and Head of Operations on relevant regulatory, legal and funding requirements and changes, and supporting the implementation of procedures to ensure ongoing compliance and monitoring.
  • Providing governance support to the Board, CEO and Head of Operations and ensuring the Board receives the information it requires, conducts its business legally and effectively, and has the appropriate processes in place to carry out oversight of the organisation.
  • Ensuring regular reviews of the organisation’s governance structures, Articles of Association, Terms of Reference and other associated documents are undertaken and advise on any ongoing development matters.
  • Advising and assisting Board members with respect to discharging their duties and responsibilities, conflicts of interest in accordance with the governing document, code of conduct and legislation.
  • Ensuring that the procedure for the appointment of directors is conducted in accordance with our Board Recruitment Policy and support the induction and performance evaluation of Board members.
  • Work with the CEO and Head of Operations to coordinate preparation, publication, distribution and presentation of the annual report.
  • Providing support to the CEO and Head of Operations as legal counsel in disciplinary matters falling within the jurisdiction of scottishathletics

About You

We are looking for an empathetic, professional and highly organised individual with demonstrable experience in welfare, safeguarding or compliance.

An understanding of the role of safeguarding, welfare and well-being in sport along with a proven track record in managing concerns and investigations is vital for this role. You will have knowledge and understanding of the PVG Scheme and associate processes along with experience in handling sensitive and complex matters.

Excellent communication skills, sound judgement and the ability to build positive relationships will be essential to success in the role.

With a forward-thinking approach, you will utilise your skills and knowledge to innovate and continuously evolve support, training and processes in this fundamental area.

About the Role

We are looking for an experienced and proactive Welfare and Compliance Manager to lead the delivery of safe, inclusive environments across athletics in Scotland. Reporting to the Head of Coaching and Welfare, you will act as the organisation’s primary contact for safeguarding, welfare and compliance matters. Working in close collaboration with partners such as Disclosure Scotland, Children First and UK Athletics you will oversee the ongoing development and implementation of modern and effective safeguarding and welfare practices across the organisation and wider sport.

You will be responsible for the provision of ongoing guidance, support and training for the network of Club Welfare Officers, contributing to the development of policies and procedures and ensuring compliance with the relevant legislation and standards.

This new role offers the opportunity to make a meaningful impact, embedding a proactive culture of safeguarding and welfare which ensures that every individual has a safe and positive experience in athletics.

Place of Work

Hybrid working. The scottishathletics office is based at Laurie Liddell Clubhouse, 42 Peffermill Road, Edinburgh, EH16 5LL. scottishathletics also has an office within the Emirates Arena, 1000 London Road, Glasgow, G40 3HG.

Salary

The starting salary offered for the post will be £33,000. Annual pay awards will be made in accordance with the salary review procedures agreed by the scottishathletics Board of Directors.

Hours of work

The person appointed will be expected to work for 37 hours per-week. Due to the nature of the post, there may be occasions where there is a requirement to work in the evening and at weekends. The organisation encourages a flexible working approach from all staff, consistent with meeting the needs of the business.

Pension

scottishathletics operates a qualifying group pension scheme for auto-enrolment purposes and will match the successful candidates’ contribution up to a maximum of 6% of salary, including the legal minimum contributions required.

Annual Leave and Public Holidays

The annual leave entitlement for this post is 25 days (pro rata), increasing to 30 days after five years’ service. In addition, the public holiday entitlement is 10.5 days (pro rata).

Travel and Subsistence

The post holder may occasionally be required to travel to meetings within Scotland and occasionally in the UK. Travel and subsistence will be reimbursed at scottishathletics’ current rates.

Probationary Period

All new members of staff will serve a six-month probationary period before their appointment is confirmed.

Notice

This post carries a three-month period to terminate employment after the satisfactory completion of the probationary period.
