Due to recent promotions, we have an excellent opportunity for two highly motivated individuals to join our Frontline Services Team. Set up to enhance the customer service experience and support the delivery of our new response repairs service.

The successful candidate will be performance driven, and will demonstrate role flexibility, proficient IT skills, excellent communication, multi-tasking and interpersonal skills.

Core Responsibilities:

As part of our Frontline Services team, The Services Administrators are responsible for providing front line customer service; responding to enquiries (via telephone, email and reception) in relation to all housing management services including allocations, void management, sustainment and repairs services.

The ideal candidate will have a minimum of 3 x SCQF Level 5 or equivalent (including English), customer service experience and good time management and organisational skills.

Key Tasks:

1. Front-line customer service role, responding to enquiries (via telephone, email and reception) in relation to all housing management services including allocations, void management, sustainment and repairs services.
2. Working with team members to ensure duty officer cover.
3. Rotating reception role: including welcoming visitors to the office, maintaining diaries and control sheets, including Health & Safety checks and registers; preparing meeting room facilities, and recording and managing the distribution of mail.
4. Providing advice and assistance to customers on GWHA services and activities, including liaising with other RSLs and partner agencies as required.
5. Supporting service delivery through the administration of policies and procedures, including housing allocations, mutual exchange, rent collection and monitoring, tenancy compliance and sustainment, and repairs recording and reporting.
6. Mitigating complaints through the provision of robust, accurate and prompt advice, information and support.
7. Arranging and carrying out house visits/viewings for routine services.
8. Maintaining and updating manual and computer records.
9. Assisting with the production of publications such as newsletters, invitations and display/information boards for GW events.

We’re looking for an experienced and motivated Property Officer to support the effective management and maintenance of our property portfolio, helping us deliver safe, high-quality homes and excellent customer service.

This is a varied role within our Asset Management team, with responsibility for instructing and monitoring repairs, delivering voids work, carrying out inspections and surveys, maintaining accurate records, and helping ensure statutory compliance across areas such as health and safety, fire, asbestos and gas.

You’ll work closely with tenants, factored owners, colleagues, contractors and external partners to resolve property enquiries, coordinate works, support project outcomes and contribute to continuous improvement across our property services.

What You’ll Be Doing

• Instructing, monitoring and controlling repairs for tenants and factored owners, including void works, to support KPI delivery
• Carrying out inspections, risk assessments and stock condition surveys, recording accurate data and prioritising works
• Applying statutory compliance requirements, including health and safety, fire, asbestos and gas, to maintain legal and organisational standards
• Liaising with contractors, consultants, suppliers and external bodies to arrange works, monitor progress and verify outcomes
• Maintaining asset and repairs records, processing invoices and vouchers, and inputting accurate financial information to systems
• Providing clear advice, resolving routine and moderately complex property issues, handling first stage complaints and escalating high-risk matters where required

What We’re Looking For

• An HND in a building-related discipline, or equivalent relevant experience
• Substantial experience working across a property portfolio and coordinating property-related activity across departments
• Significant experience of repairs, voids, inspections, risk assessments, stock condition surveys and statutory compliance
• Strong understanding of contractor coordination, asset records, invoice verification, financial system updates and safe working practices
• Excellent communication, organisational and IT skills, with the ability to prioritise a varied workload and work well under pressure
• A full UK driving licence and access to a car for work purposes, with the ability to undertake lone working, use PPE and carry or move ladders where required.

We’re looking for an organised and customer-focused Compliance and RAAC Assistant to provide administrative and operational support to our Asset Management team, helping ensure our property management processes run smoothly, accurately and efficiently.

This is a varied role supporting compliance contracts, reactive repairs and the delivery of our RAAC programme. You’ll help plan compliance inspections, maintain accurate records, raise works orders, liaise with contractors and suppliers, and provide timely information to support reporting, audit readiness and effective decision-making.

You’ll also support the RAAC Manager, Tenant Liaison Officer and Asset Compliance Officer, acting as a first point of contact for customers regarding RAAC works and helping colleagues, residents and external partners receive clear, consistent and responsive support.

• Developed IT skills, particularly Word and Excel, with experience using computerised housing management systems desirable

We are a community-based housing association which has been serving the communities of Shettleston, Greenfield, Springboig and Sandyhills in the East End of Glasgow for 50 years. Our vision is of thriving and prosperous local communities where all residents enjoy great homes and services, an attractive physical environment, and good life chances.

As a Registered Social Landlord and a Scottish Charity (No. SCO36687), we have nearly 2,500 rented homes in management and an ongoing development programme of new homes. In addition, we have an established track record of delivering non-housing projects and services to benefit the community, often in collaboration with other local voluntary organisations and agencies.

The Association is the parent of two subsidiary companies: Upkeep Shettleston Community Enterprise and East End Housing Development Company. Around 100 people are employed across the Group which has a combined annual turnover of c £14 M.

The Association’s Board consists mainly of tenants and other local residents elected by the members of the Association who all live within our area of operation. There are also three designated spaces for the Board to fill by co-option who do not need to live within the local community.

The Board meets seven times a year. It also has two sub-committees and Board Members usually serve on at least one of these. There are other occasional meetings and training sessions. Meetings are usually held on a Tuesday evening, with the option to attend in person or on-line.
