JOB PURPOSE

Join the National Trust for Scotland and support Scotland’s Nature and Heritage. The Highlands and Islands region are seeking an enthusiastic and passionate individual to join the Administration Team based at Balnain House.

As a Receptionist and Administration Assistant you’ll be one of the first people to greet visitors to the regional office and welcome the regional team. You’ll be responsible for providing administration support to the Office Manager and the wider team based at Balnain.

We’re looking for someone who enjoys a varied and dynamic role. You’ll be expected to work with IT and finance systems, book meetings, and undertake general administration duties with efficiency and accuracy.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Ensure all general administrative tasks are undertaken efficiently, effectively, and timeously, including (but not limited to):

• Reception
• Inducting staff and visitors to the building
• Property correspondence (email, telephone and mail).
• Filing and record-keeping in line with data protection regulations.
• Facilities support (room bookings, support documentation).
• Data entry of deliveries – weekly, monthly, and ad hoc.
• Diary Management, recording meetings and appointments in diaries.
• Support with developing and preparing reports, and/or presentation material
• Purchase ordering and coordination with suppliers.
• Maintaining stock control for Balnain House including First Aid box, replenishing stock as and when required.
• Assisting in Health and Safety compliance for the building, including the reporting of accidents and incidents, and maintenance of the property’s Safe System of Work documents.

A level of flexibility is expected on occasion to meet the needs of the property.

QUALIFICATIONS, SKILLS, EXPERIENCE & KNOWLEDGE

• Qualification in business administration – HND or Diploma – or relevant experience.

Experience

• Ability and competence to intermediate level in MS packages – Word, Excel, Outlook and PowerPoint.
• Possess excellent communication skills (written and oral).
• Must be diligent and accurate with an excellent eye for detail.
• Excellent customer care skills able to demonstrate care to staff, visitors and volunteers.
• Well-developed time management and organisation skills – ability to prioritise workload.
• Ability to embody the Trusts’ values.

Desirable

• Previous experience providing administrative support to several different departments is highly desirable.

Role Purpose:

Often the first point of contact for Members, partners and media, you’ll work with a range of stakeholders across the city, playing an integral role in one of the world’s oldest conservation charities. You’ll work with our small team of two, and our incredible volunteers to design and deliver a new audience engagement plan. You’ll support and grow our Membership through the delivery of events from our annual talks and tours to Edinburgh’s Doors Open Days (part of Scotland’s largest free heritage festival). You’ll embed our new CRM, manage budgets, and report progress to the Board, funders and wider stakeholders. There will be lots of opportunities to engage in research, embark on and strengthen partnerships, and work with communities across the city and beyond. Ideally, you’ll have a passion for Edinburgh and enjoy working flexibly and dynamically to meet our charity’s needs. It’s an exciting time to join the Association, as we embark on the delivery of our new Business Plan, take back the coordination of Edinburgh’s Doors Open Days, and work with international and local partners to build evidence for the city’s 2040 Plan. THE HEALTH AGENCY is a charity based in Wester Hailes dedicated to supporting over 2,000 people in South-West Edinburgh each year to live longer, healthier, more fulfilling lives. As a community-led organisation, our services aim to tackle health inequalities and improve the health and wellbeing of people experiencing social isolation, cancer, long-term conditions, food insecurity and mental and emotional health challenges. Working closely with the Chief Executive, you will also help develop funding opportunities, strengthen our profile and ensure the voices of local people continue to shape our services.

DUTIES INCLUDE

• Leading the recruitment, induction and support of volunteers and members
• Building strong relationships with supporters, donors and community partners
• Coordinating and supporting community fundraising and income generation activity
• Maintaining accurate records of donations, supporters and engagement using CRM systems
• Developing engaging content across social media, newsletters and promotional materials
• Managing and updating website content and supporting digital communications
• Representing The Health Agency at community events and external meetings
• Supporting trust and foundation fundraising, including research and applications
• Working with service teams to gather stories, outcomes and impact data
• Supporting the smooth running of the organisation, including occasional reception cover

ABOUT YOU

• Experience in marketing, fundraising or community engagement
• Excellent written and verbal communication skills, with the ability to create engaging content
• Strong interpersonal skills and ability to build relationships with a wide range of people
• A proactive and organised approach, with the ability to manage competing priorities
• Confident using digital tools, social media and Microsoft Office
• Experience using CRM systems or databases
• A creative mindset and willingness to learn and adapt

The Redress Support Service provides support for people who are applying to Scotland's Redress Scheme. The Scheme has been set up for survivors of historical child abuse in care in Scotland. It was set up to recognise and acknowledge what happened to them, and the harm which this caused. At the end of the process, survivors may receive a payment, an apology for the abuse they suffered, and emotional support.

The In Care Survivors Alliance was commissioned to provide support alongside this process. In December 2021, the Alliance established its second service to provide this: the Redress Support Service. You may read more about the service here: redress-support.scot

As Impact & Evaluation Lead, you’ll be responsible to plan, design and complete evaluation activity that can assess RSS progress towards its strategic objectives.

You’ll work closely with our Innovation and Improvement team, and other Impact & Evaluation Leads to ensure consistency of approach to evaluation across the organisation, ensuring that Penumbra’s experience and insight from other programmes is applied in Redress Support Service. You will manage data gathering and report writing activities within the Programmes team, to inform service improvement and programme development in collaboration with our partners.
