VisionPK is an exciting and growing charity, recently opening our new Sensory Hub in the heart of Perth. We provide specialist services for people with sight and hearing loss living within the Perth and Kinross local authority area.

We are currently recruiting a proactive and organised Operations Support Assistant to join our dynamic team. The successful candidate will be responsible for providing essential support in various operational areas, including daily reception duties, equipment procurement, administration tasks, health and safety compliance, and liaising with service users and suppliers, both over the phone and in person. The role also involves assisting the Operations Support Manager in day-to-day tasks to ensure smooth business operations.

The Role

Reception and Customer Service:

• Serve as the first point of contact for visitors and clients, ensuring a professional and welcoming environment.
• Handle incoming calls, emails, and correspondence, directing them appropriately.
• Address inquiries and provide accurate information about VisionPK services.
• Develop knowledge of other services for signposting and referring as required.
• Develop knowledge and understanding of aids and equipment available for people with a sensory impairment in order to be able to effectively demonstrate/issue/sell simple aids and equipment to sensory impaired people.
• Update client database and create / maintain records as required.
• Coordinate the ordering, tracking and distribution of stock, supplies, sensory aids and equipment and process orders and sales of these as required
• Maintain accurate inventory records and ensure timely replenishment.

Operations Support:

• Assist the Operations Support Manager with administrative tasks and project coordination.
• Support scheduling, meeting arrangements, and documentation management.
• Collaborate with internal teams to ensure operational efficiency.
• Support with preparation and distribution of quarterly newsletter.
• Support the implementation and monitoring of health and safety policies and procedures.
• Assist in reporting and resolving health and safety incidents.

Supplier and Customer Relations:

• Establish and maintain strong relationships with suppliers, ensuring high-quality service.
• Coordinate with customers to manage orders, deliveries, and resolve issues promptly.
• Handle invoicing, payment follow-ups, and ensure accurate record-keeping.

About You

• Previous experience in operations, administration, or a similar support role.
• Competent at IT, use of Microsoft programmes and databases for recording activity.
• Experience of GDPR / Confidentiality compliance
• Strong organisational skills and the ability to manage multiple projects simultaneously.
• A proactive, collaborative, and compassionate individual who is passionate about making a positive difference.
• Strong work ethic and reliability.

Job Summary

As our Front of House Manager, you will be the welcoming face of our organisation, ensuring that every visitor, no matter their reason for coming into our building are welcomed and treated in line with our values which are kindness and compassion, being honest and inclusive. You will manage and oversee all aspects of the Hospice front of house operations including reception, in house events, housekeeping, coffee shop and catering services, volunteers, and team management. You will also oversee our Contemplation space, learning and teaching events, ad hoc special events, deliveries and donations. You will create a front of house operation that is courteous, efficient, consistent, and professional whilst providing a welcoming and uplifting experience for patients, visitors, and the public. You will be a role model for hospitality throughout the Hospice ensuring a strong, positive public image is maintained by you and your team of staff and volunteers.

We are looking for an engaging, passionate and tenacious person who can deliver strong, cost effective and sustainable income growth for the charity, along with excellent and engaging copy writing skills, proficient admin and organisational skills, experienced at developing professional relationships and can manage a busy and varied workload. Scottish Huntington’s Association are seeking to recruit a suitably experienced Senior Central Admin and HR Officer to join our central services team. This role involves offering guidance and support to the organisation while ensuring that both the physical and virtual working environments and processes meet the needs of the wider team.

Reporting to the Head of Income Generation and Administration you will play a key role in developing and implementing strategies related to HR, health and safety, ICT, data management and office administration.

Key responsibilities:

• Ensure the effective operation and upkeep of office facilities and equipment.
• Develop and revise HR policies in accordance with legislation, providing clear communication to staff.
• Offer HR guidance to managers and colleagues to ensure compliance.
• Manage all activities related to the employee lifecycle, including planning, recruitment, onboarding, and offboarding.
• Oversee DBS and PVG requests.
• Coordinate Learning & Development initiatives and train managers on HR topics.
• Promote employee wellbeing through wellness initiatives and oversee occupational health issues.
• Use research and data analysis to drive informed decision-making.
• Support the Senior Leadership Team with change projects and consultations.
• Create and maintain various HR documentation, including reports and guides.

Additional information:

Proficiency in English communication is required, as is evidence of your eligibility to work in the UK.

You will need to be available to work from our registered national office a minimum of three full days each week, situated at Business First, Burnbrae Road, Paisley PA1 2FB. For the rest of your working week, you will have the option to work from home. Additionally, occasional travel to various locations in Scotland may be necessary for departmental and organisation-wide meetings.
