Casework and Office Manager

Role

Working for a Member of the Scottish Parliament (MSP)

MSP are employers in their own right. Under their employment, you will become part of a team supporting them in carrying out their duties. You’ll work in a dynamic and fast paced environment to provide an outstanding service for constituents.

Responsibilities

  • Acting as a support to me as an MSP and Committee Convener.
  • Managing cases through to completion and ensuring capacity to handle complexity of casework.
    • Acting in a front-facing manner in the constituency office for enquiries.
    • Responding to all incoming correspondence while professionally managing each enquiry within agreed timescales.
    • Coordinating and monitoring the handling of enquiries and ensuring they are dealt with timeously and professionally.
    • Ensuring that cases are managed and concluded by tracking, logging, and escalating as required.
    • Investigating patterns of enquiry, generating reports by interpreting data and statistics, and reporting back to MSP.
    • Working with colleagues, develop and maintain a shared drive of casework resources (for example, templates, case studies, standard responses, standard processes and procedures).
    • Drafting written correspondence and advocating on behalf of constituents.
  • Acting in a supervisory capacity for the team and overseeing the day to day running of the constituency office.
    • Managing office budget in line with the Members Expenses Scheme, Allowances Office and People and Culture Group.
    • Managing constituency accounts, premises, and equipment.
    • Developing and coordinating monthly outcomes for the team and reporting to MSP on staff outcomes, staff wellbeing and any staff discipline issues.
    • Organising and chairing weekly teams meetings.
    • Carrying out general office administration.
  • Organising diary commitments in the constituency and in Parliament and preparing for activities as required.
    • Arranging surgeries, meetings, and travel, and accompanying MSP to those activities as required.
  • Professionally and proactively representing on my behalf.
    • Building and maintaining relationships with constituents and stakeholders, including attending meetings on my behalf.
    • Promoting MSP to constituents and stakeholders.
    • Liaising with external stakeholders to build relationships and positively represent MSP.
    • Communicating with parliamentary officials.
  • Maintaining office records, implementing strategies, and ensuring compliance with data protection legislation and GDPR requirements.
    • Supporting MSP in development and implementation of strategic goals and campaign activities.
    • Maintaining oversight of overall media strategy.
    • Assisting in the coordination and dissemination of summer newsletter project and mail drops.
    • Undertake stakeholder surveys and other constituency research as required.
    • Supporting the team in developing and maintaining a shared drive of MSP’s media and parliamentary content.
    • Developing and maintaining a shared drive of office policy and processes documentation.
    • Effectively reporting to, briefing and updating MSP as required.

Requirements

  • Have excellent organisational skills while being flexible in prioritising workloads during busy times.
  • Have excellent communication skills with accurate attention to detail and the ability to work effectively with colleagues.
  • Have experience of managing staff with the ability to nurture and build effective teams.
  • Be confident in managing office budgets and staff.
  • Have a flexible and adaptable approach, being able to use good judgement on own initiative.
  • Be patient and sensitive while remaining objective and open-minded.
  • Be comfortable being in a front facing role explaining regulations such as GDPR to the general public.
  • Be acutely aware of the responsibility of representing those unable to do so themselves in certain situations and have a natural interest in helping people.
  • Understanding the community of East Kilbride and the challenges faced by local residents.
